The Pain Point

Traditionally, clients would expend significant resources—up to half a man-day daily—to manually extract data from their accounting sales record system, which is stored in a Microsoft SQL database.

The process involved laboriously loading raw data into an Excel file, adjusting data formats, and modifying data parameters.

Once formatted, these reports had to be saved across various tabs, converted into different files, and sent to respective sales groups via email.

This task was not only repetitive but also prone to human errors such as applying incorrect parameters or misdirecting reports to the wrong groups.

My Solutions

The introduced automation solution simplifies this entire process into a few lines of code. Starting from extracting data from SQL, calculating necessary metrics, to loading and formatting the information directly into a Google Sheet, the automation handles it all efficiently. Once the sales group reports are prepared, they are automatically stored in well-organized, labeled folders on Google Drive and summarized in a master report.

Subsequently, the program utilizes the key results to generate visually engaging messages, which are then disseminated to different work groups via the LINE messaging application. Furthermore, each sales group receives the relevant reports via email, which includes the Excel file attachments. This system allows for a quick preview of daily sales reports and provides detailed Excel reports each morning. All tasks are completed within five minutes, ensuring consistent data formatting and significantly reducing the risk of errors and inefficiencies found in manual processes.
